Our approach
Use the time AI saves for work that drives revenue.
In Japan, labor shortages are expected to deepen in the years ahead. As hiring gets harder, growth depends on raising productivity per person. That’s why we design time savings and revenue growth as a single flow.
01
Free up time
We hand routine work such as orders, invoices and inquiries to AI connected with your existing systems, and cut the hours it takes.
- Example metrics
- Hours saved, cases handled per person
02
Turn it into revenue
We help you put the time saved into proposals, deals and customer service, and use AI to speed up quotes and responses and raise the quality of proposals.
- Example metrics
- Days to quote, win rate, inquiries handled
03
Measure it
We agree on metrics and targets before we start, and measure them at every stage from proof of concept to operation. Where AI doesn’t pay off, we look at other options, including not using AI.
- Example metrics
- Revenue per person, return on investment
Common requests
Where AI pays off differs by department. In the assessment, we look for candidates across the whole company.

You’re welcome to talk to us before the problem is fully defined. The assessment separates the work where AI will pay off from the work where it won’t, and sets priorities.
Services and pricing
We verify the impact in numbers before going into production.
00
First consultation
We learn about your situation and challenges, and suggest a way forward. Online or in person.
01
Assessment & roadmap
We map your workflows and the time they take, and identify both the steps where AI can save time and those where it can drive revenue. We estimate the benefits and costs, then draw up an adoption plan with priorities and an indicative budget.
DeliverablesWorkflow diagrams (current and future), impact estimate (including initial and monthly running costs), adoption roadmap
02
Proof of concept
We measure accuracy and impact on a sample of real data. Targets are set in advance, and if they aren’t met, we may recommend not going into production.
03
AI agent development & system integration
We connect with your existing systems, such as order management, accounting, kintone (a Japanese business app platform), Google Workspace and Microsoft 365, to automate work that spans multiple steps. We test accuracy on real data and build in exception handling, access control and activity logs, so the system is ready for production. What we build is handed over so you can keep using it after our engagement ends.
DeliverablesAI agent running in production, accuracy test report, integration specifications, operations manual
04
Operation & improvement
After rollout, we regularly review usage, accuracy and cost, and keep improving. We revise the setup as AI models are updated and your work changes.
DeliverablesMonthly report (usage, impact, cost), improvement plan

AI environment & training
We select and roll out business or enterprise AI plans that don’t use your data for model training, and set up account and usage management. We then run training tailored to each department’s work.
DeliverablesEnvironment design document, internal usage guidelines, training materials by department
What we need from you
- A point person
- One person who knows the work, available for a meeting about once a week and to review our output.
- Real data for testing
- A sample of actual data from the process in scope, such as orders, invoices or past inquiries.
- System information
- Admin access to the systems to be integrated, and details of how data can be exported (API, CSV, etc.). If you’re not sure, we’ll check with the system vendor.
Quotes are fixed-price, based on the agreed scope and timeline. AI service and cloud usage fees are separate (contracted in your company’s name). We estimate monthly running costs during the assessment.
AI agents in practice
An AI agent is a system that handles work spanning multiple steps. Unlike a chat assistant that just answers questions, it works with your internal data and systems to move the process forward, and hands anything that needs judgment to a person. The examples below are illustrative: some drive revenue, others save time.
01Revenue
Standardizing quotes
ChallengeQuotes built up from material and labor costs according to the specification depend on one particular person. Responses take days, and stop when that person is away.
- InputQuote requests including drawings and specifications
- AIOrganizes materials, quantities, processing and other details from the request, and searches for similar past jobs
- CalculateCalculates the estimate from cost data and pricing rules, and produces a draft quote showing its basis
- ApproveStaff set the final price
ExceptionsDrawings that are hard to interpret, and specifications with no precedent, are estimated by staff
02Revenue
Deal preparation and follow-up
ChallengeDeal notes and follow-ups vary from one salesperson to the next, and proposals take a long time to write. When things get busy, follow-ups slip and deals are lost.
- InputCall recordings, meeting notes and customer emails
- AISummarizes key points, the customer’s needs and next steps
- AIDrafts the proposal and follow-up email from customer data and past proposals
- SyncLogs the meeting and tasks in your CRM or kintone
ExceptionsAnything involving price or contract terms is checked by the salesperson before it goes out
03RevenueKnowledge sharing
First-line answers to technical inquiries
ChallengeProduct specifications and past cases are scattered across shared folders and the heads of a few experienced employees. Answers take time, and quality depends on who responds.
- InputTechnical inquiries from customers
- AISearches product documents and past support history for relevant information
- AIDrafts an answer, citing the supporting documents
- ReviewStaff review the draft and reply
ExceptionsQuestions with no support in the documents go to staff without a draft
04Efficiency
Automating order entry
ChallengeOrder forms arrive from each customer in a different format (fax, PDF, email) and are keyed into the order management system by hand. In busy periods, overtime and input errors rise.
- InputOrder forms arriving by fax, PDF or email
- AIHandles format differences and reads item numbers, quantities and delivery dates
- AIChecks against customer and product master data, converting customer-specific codes and spelling variations to your own item numbers
- SyncEnters the order into the order management system (via API, CSV import, etc.)
ExceptionsItem numbers missing from the master data or price mismatches are checked by staff before registration
05Efficiency
Invoice matching and bookkeeping
ChallengeLarge volumes of invoices arrive every month, and are matched against purchase orders and entered into the accounting software by hand. Japan’s Qualified Invoice System (consumption tax invoice rules) and Electronic Bookkeeping Act have added to the checking workload.
- InputInvoices arriving as PDFs or on paper
- AIReads amounts, consumption tax for each tax rate, and invoice registration numbers
- MatchVerifies registration numbers on the National Tax Agency’s public site, and matches against purchase order and goods receipt data
- SyncRegisters draft journal entries in the accounting software (AI suggests the accounts)
ExceptionsAmount mismatches, or registration numbers that can’t be verified, go to accounting staff for a decision
In practice, each system is designed around your work and your internal systems.

More than a tool
“We tried AI tools, but they didn’t connect with our existing systems, so the impact stayed limited.”
Any company can sign up for ChatGPT or Claude. The difference lies in turning them into working business processes and getting them to deliver results.
Designing the work and accountability
Decide which steps go to AI and which stay with people, and reorganize the workflow around that. Define what AI does not decide and where people check, so errors don’t flow straight into the business.
Getting data and systems connected
Clean up master data, past documents and access rights, so AI draws only on the right information. Link order management, accounting, kintone and other systems via API, CSV or RPA, and do away with manual entry and re-keying.
Measuring accuracy and running it
Build evaluation tests from real data and check results against targets, running the same tests whenever the AI model is updated. Monitor usage logs, costs and data handling, in line with internal rules and ready for audit.

FAQ
Do you work with companies of any size?
Yes. Besides company-wide rollouts, you can start with a single department or process.
Do we need engineers in-house?
No. We handle everything from development to the operational handover, and use manuals and training to show your staff how to run and check it day to day.
Can you integrate with the systems we use now?
We connect with order management, accounting, kintone, Google Workspace, Microsoft 365 and more, via API, CSV, email and other methods. Depending on a system’s specifications, we work out the integration case by case.
How accurate is the AI?
It depends on the work and the data. We measure accuracy on real data during the proof of concept, and decide whether to go into production against targets set in advance.
AI is moving fast. Is now the right time to adopt it?
Process mapping and usage rules stay useful even when tools change. And because we use setups where tools are easy to swap, you can switch when new models arrive.
Can we keep using the system after the engagement ends?
Yes. We hand over the workflows with an operations manual, so you can keep running them on your own. We also show your team how to make simple changes, such as to prompts or decision rules.
What if much of our information can’t leave the company?
We can start by helping you set information-handling rules, and choose tools and settings according to the information involved. We’re also happy to sign an NDA.
